Read your message aloud.<\/span><\/h3>\n<p>If you read the words slowly, you will often hear any mistakes. Try it out on the italicized sentence above. Reading out loud also helps with the tone of your writing. If it sounds harsh to you, it will sound harsh to the reader.<\/p>\n<h3><span style=\"color: #ff0000;\">2. Always look for error. <\/span><\/h3>\n<p>This means that when you are proofing your writing, keep looking until you find an error. And if you don\u2019t find one, keep looking until you do \u2013 or until you are absolutely satisfied that there are none to find. It\u2019s easy to miss an error unless you have a strategy for finding one.<\/p>\n<h3><span style=\"text-decoration: underline;\"><span style=\"color: #ff0000; text-decoration: underline;\">3. Have someone else proof your writing. <\/span><\/span><\/h3>\n<p>It is easier for other people to catch your mistakes, as they read what you\u2019ve written with fresh eyes.<\/p>\n<h3><span style=\"color: #ff0000;\">4. Remember this\u00a0acronym AIL. <\/span><\/h3>\n<h4><span style=\"color: #339966;\">AIL stands for Address In Last<\/span>. Use this acronym to remind yourself not to send an email before you have finished writing and proofing the message. You can\u2019t send an email without an address. Even when you are replying to a message, it\u2019s a good precaution to delete the recipient\u2019s name, and insert it only when you are sure the message is ready to be sent.<\/h4>\n<h3><span style=\"color: #ff0000;\">5. Double-check the spelling of the person\u2019s name in the salutation. <\/span><\/h3>\n<p>Many people are offended when others misspell their names. The final thing to do before you hit \u201csend\u201d is to look at the recipient\u2019s address. Often the person\u2019s first and\/or last name is in the address.
